Serve as an Administrative Assistant for the Law Department by assisting eight staff lawyers in their delivery of legal services to National Trust offices and ongoing legal advocacy work. Maintain day-to-day office operations for the department, which includes increasing office efficiency, maintaining files, contact lists, and databases. Handle daily administrative services for the department including mail, telephones, travel arrangements, accounting transactions, and monthly financial reporting. Assist in providing resources and support to members of the general public by fielding requests for information, helping to develop training materials and newsletters, and creating and managing online content for the department.
Duties
- Responsible for all office management functions of the department including increasing efficiency of operations, managing documents through scanning and file management.
- Assist with daily office operations, including timesheets, invoices, scheduling, ordering office supplies, routine correspondence, travel arrangements and travel reimbursements, and other operational requirements as assigned. Make arrangements for workshops, conferences, and other meetings. Handle daily accounting transactions, monthly financial reporting, and budget tracking.
- Perform occasional word processing and copying; maintain accurate files, receive incoming telephone calls, route mail to legal staff, provide administrative support to staff attorneys, assist in scheduling meetings and outgoing mail, respond to requests for printed and electronic materials, and similar responsibilities, as directed. Represent department on interdepartmental work groups related to administrative management.
- Provide administrative support for annual Legal Defense Fund fundraising appeal and work with development department on other fundraising activities.
- Create, manage, and update online content for the department by working closely with the attorneys.
- Respond to requests for information by the public, assist with assignments and referrals for response by attorneys or others.
- Assist in the production of legal education materials, including the creation of on-line training materials, and department newsletters.
Qualifications
- Minimum 4 years college or equivalent educational/work experience (demonstrated interest in historic preservation preferred). Work experience/education in legal administration, non-profit administration, or business administration is preferred.
- Excellent writing, spelling, grammar, and proofreading skills.
- Applicant must be proficient in Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Adobe Acrobat.
- Knowledge of HTML or other web programming languages is not necessary; however, familiarity with Web 2.0 technology is preferred.
- Experience digitizing paper records for electronic filing purposes is required.
- Ability to work cooperatively with others in a small hectic office under pressure is a must. Good organizational skills are essential Occasional overtime work is very unusual.
