This position will maintain all finance and administration functions for Glass House including financial reporting and processing, procurement of vendors and contracting, site human resource management and management of yearly budget and bookkeeper.
Duties
Management of Finances
- Oversee all financial & budgetary aspects of Glass House operations including daily invoicing, vendor maintenance and local checking account
- Maintain yearly budget and report monthly variance and changes to Executive Director (ED)
- Work within project teams to ensure close budget & contracts coordination with National Trust
- Assist ED in strategic financial planning for programs and projects based on yearly planning goals
- Act as primary contact with National Trust Sites department financial staff for processing and vendor payment
Management of Vendor Procurement
- Work with all staff to ensure proper vendor procurement processes are closely coordinated through National Trust standards including competitive bidding, contract generation and execution, project deliverables and monitoring, and payment
- Maintain a vendor/contract worksheet to manage all contracts through circulation and timely approval
- Work to further maintain vendor files to ensure historic record of all work done on-site
- Act as primary contact to National Trust Contracts department with all paperwork and contract generation
Oversight of Human Resource functions
- Act as local human resource facilitator including timesheet submission, maintenance of HR files and paperwork and contact with National Trust Human Resources department and Payroll
- Work with ED to document and communicate annual goals, workplans and associated job descriptions and annual staff reviews
- Assist ED in scheduling and agendas for regular staff meetings
- Work with ED to develop projects which promote positive culture, coordination with National Trust and professional development across all staff
Office Administration
- Assist ED with office management including office lease maintenance, cleaning contract, parking coordination, physical maintenance of supplies, staff resources and moves if necessary
- Work to ensure office space supports needs of staff
Qualifications
- 5-7 years of office and project management experience, including Human Resource-related functions
- Proficient in financial reporting and analysis including Excel and ability to learn new accounting software
- Excellent focus on detail is required
- Good communicator & positive culture player
- CPA is a benefit
