How do we build traffic in the hall?
- The 2010 conference will be held at the Hilton Austin; sessions, meal functions, the conference bookstore, and the exhibit hall will all be under one roof.
- The 2010 exhibit hall is open to the public as well as conference attendees so you will have more opportunities to reach local and national contacts.
- Two coffee breaks on Thursday and a reception on Friday create ample unopposed time to visit your booth.

Booth Details
Display Areas
Each Exhibit Hall display area is an 8 x 10' booth, which includes a 6' draped table for table-top displays, two chairs, a wastebasket, and a 7" x 44" identification sign. These spaces are available without a table for larger pop-up displays.
Exposition Service Contractor/Equipment Rental
The exposition service contractor will assist you with freight, electrical requirements, audiovisual equipment needs, additional furnishings for your booth, and signs. Exhibitor service kits, distributed by the service contractor, will contain forms for ordering these items. Shipping instructions will be included in the exhibitor service kit. Boxes shipped to the contractor will be delivered to the Exhibit Hall at the Tulsa Convention Center prior to your October 27th set-up time. Return shipping arrangements can also be made with the contractor.
**National Trust conference staff will not be responsible for materials shipped by exhibitors.
Booth Assignment
Booth numbers will be assigned August 16th and Exhibitors will be notified by email. A small booth identification sign will be on the backdrop of your booth. Switching booth assignments is prohibited. Every effort will be made to make booth assignments as requested, however, booths will be assigned on a first-come, first-served basis.
Guests & Registration
Exhibitor Guest Invitations
Exhibitors are encouraged to invite guests and clients to visit the exhibit hall. Entrance to the hall may be obtained by filling out an information card at the Registration Desk and receiving a guest pass for that day. These passes are valid ONLY for the exhibit hall and do not allow entry to any other event associated with the conference.
Registration for the Conference
One complimentary full registration and two exhibit-only registration badges will be provided for each booth rental. Only the full registration badge allows access to the opening reception, sessions and plenary lectures. Exhibitors will receive an email with registration instructions by August 31st, 2010.
Music & Housing
Musical Entertainment
All live musical performances and all uses of music (such as records, tapes, compact disks, CD-ROM or video tapes with either featured or background music) must be licensed by the American Society of Composers (ASCAP), Broadcast Music, Inc. (BMI) or any other agency responsible for licensing the music so performed. Any exhibitor who desires the use of live or recorded music should work directly with the National Trust to ensure proper royalty payments and acceptable sound levels.
Housing for Austin
Hotel information will be available online beginning June 1st, 2010 at the conference web site: www.preservationnation.org/conference.
Security
Security service is provided 24 hours a day. Every reasonable precaution will be taken to protect property. However, all merchandise should be secured to the extent possible in the display booth. Small or easily portable objects of value should be properly secured or removed after exhibition hours and placed in safekeeping.
Exhibit Hall Rules and Regulations

The National Trust cannot guarantee that organizations exhibiting similar products or services or that an organization's competitor(s) will not be located nearby or in an adjoining booth.

The National Trust reserves the right to change the floor plan without notice in order to comply with fire and safety regulations, or to provide a more satisfactory, attractive, and successful show.

The National Trust reserves the right to prohibit any display deemed not suitable or not of interest to conference attendees. Displays will not be permitted by any organization or individual not assigned an exhibit display area.

Exhibitors are required to arrange displays so as not to obstruct the general view of other displays, especially adjoining ones. Displays may NOT exceed the 4' high slide draping, or the 8' high free-standing space displays. No part of the exhibit or equipment may exceed a height of 4' in the front half of the booth. All displays must remain within the confines of their own display space. Partitions or booth dividers, other than those provided by the National Trust, will not be permitted without specific prior approval from the National Trust.

The aisles, passageways, and overhead spaces will remain strictly under the control of the National Trust. The National Trust will permit no signs, decoration, banners, advertising matter, or special displays in those areas.
